3.3 - NFP Contacts Record Review


In the NFP contacts module, you will have different sections popping up based on different contact types. Below is a screenshot of the Donor contact type where you will be able to see the following information associated with them.





The contacts module plays the critical role in our CRM as you can see all the details associated with them like all the emails sent and received, their family relationships, their personal details, and primary afflicters, contact types, all the deals associated with them, all the invoices sent and their status, if you have sent any newsletters or surveys and the responses can be tracked. If they have signed any documents with your business, you will be able to see them in the Zoho sign documents related list.  



3.3.1 Working with Task Activities in contacts module

Activities play an important role in daily business operations. You can associate activities with modules, such as leads, accounts, contacts, deals, campaigns, etc. Under the Activities Module, you can store information related to Tasks, Meetings, and Calls. To create task, please do the following steps:


3.3.1.1 Create task 

  1. In the Create Task page, specify the task details. 


  1. Click Save

3.3.1.2 Set repeat type for a task 

If you want to create recurring tasks that need to repeat over a specific period of time, you can create recurring tasks. You can specify when the task should be completed. Recurrence time can be set as - daily, weekly, monthly, yearly or custom repeat type - where you can specify your time period.

To set a repeat type

  1. Select the repeat type as Daily, Weekly, Monthly or set a custom repeat type from the drop-down list.

  1. If you choose Custom repeat type, do the following:

      1. Select the Frequency as Daily, Weekly, Monthly or Yearly.

        1. Daily: In every [x] days, specify the number of days after which the task should be repeated.

 





3.1.1.3 To set reminders

  1. Toggle on the Reminder switch.

  2. In the pop-up, specify when you want to be reminded. You can choose a specific date and time or number of days/weeks/months before the due date at a specific time.

 





3.3.2 Working with Meeting Activities in Contacts Module


3.3.2.1 Create Meetings

1. To create meetings from activities module
  1. In the Activities module, click New Meetings.

  2. In the New Meeting popup, specify the event details. 

  3. Click Save.

2. To create meetings from Calendar
  1. Click the Calendar icon in your CRM account and select the Day, Week or Month view.

  2. In the Calendar, click the Create link or click on a time slot in the calendar.

  3. In the New Meeting popup, specify the meeting details.

  4. Click Save.


3.3.2.2 Add participants and invite them for a meeting

Email invitations with the list of the participants are sent from CRM to all the invitees. 

  1. In the Activities tab, click on the meeting for which you want to add invitees.

  2. In the Meeting Details page, click Actions > Add Participants.

You can also click Edit and add participants for the meeting in the popup box.

  1. In Add Participants pop-up window, select the group from which you want to add participants.

You can also directly search for Users, Leads, Contacts, etc.

  1. In the list of Users, Leads, or Contacts, select the corresponding check box(es).

  2. In the Invite by E-mail Address text box, specify email addresses of the participants you want to invite and whose details are not available in Zoho CRM.

  3. Click Add.

You will receive email notifications on the RSVP status each time an invitee accepts, declines or holds your invitation. You can also re-invite them individually by clicking the Re-invite button under Actions from the Participant Status window.
